1. Introduction

CYGNOS BioTech, LLC (“we,” “our,” or “CYGNOS”) operates the CYGNOS eLab Notebook (ELN). This Privacy Policy explains what information is collected through the ELN, how it is used, how it is protected, and who to contact with questions.

2. Information We Collect

We collect the following categories of information:

  • Account information, including but not limited to name and email address.
  • Experiment data, including experiments, procedures, observations, attachments, reports, and related laboratory records entered into the platform.
  • Usage analytics, such as anonymized interaction data collected to help understand platform use and improve the user experience.
  • System and audit information, such as timestamps, user actions, version history, e-signature events, and access logs needed for security and traceability.

3. How We Use Information

We use collected information to:

  • Provide, operate, and maintain the ELN service.
  • Authenticate users and manage access control.
  • Maintain experiment records, version history, e-signatures, and audit trails.
  • Generate reports and PDF exports.
  • Send transactional email notifications, such as signature requests or system notices.
  • Improve the platform based on usage patterns and user needs.
  • Support security monitoring, troubleshooting, compliance, and incident response.

4. Data Storage and Security

ELN data is hosted with encryption in transit and at rest. The platform uses access controls, including row-level security, so users can access only the records they are authorized to view. The ELN also maintains audit trails to support traceability and record integrity.

5. Data Sharing

We do not sell user data or experiment data.

6. Data Retention

Experiment data is retained in accordance with the organization’s data retention and recordkeeping policies. Audit logs may be retained indefinitely to maintain a complete record of changes for compliance, security, and traceability purposes. Some records, including audit logs and compliance records, are retained for legal, security, or recordkeeping reasons.

7. User Rights and Requests

Users may submit a request for correction of inaccurate account information, or assistance with account deactivation when access is no longer required.

Because the CYGNOS ELN is used for laboratory documentation, audit trails, electronic signatures, version history, compliance records, and research records may need to be retained to preserve data integrity, traceability, security, and regulatory recordkeeping requirements. As a result, requests to delete, or modify records may be restricted where the information is part of an audit trail, signed record, controlled document, experiment record, compliance record, or other required business or scientific record.

To submit a request, users should contact their organization’s liaison who will send the request to CYGNOS for approval. Requests will be reviewed based on the user’s role, authorization level, applicable CYGNOS policies, and any legal, regulatory, security, quality, or recordkeeping requirements.

8. Changes to this Policy

CYGNOS may update this Privacy Policy from time to time. Changes will be posted with an updated revision date. Continued use of the ELN after updates are posted means you acknowledge the revised Privacy Policy.
